Client Notes
Notes help your team provide consistent, personalized service. Record preferences, sensitivities, important information, and observations that help serve clients better.
Adding Notes
To add a note to a client profile:
- Open the client profile
- Click "Add Note"
- Select the note type
- Enter your note text
- Optionally mark as important/alert and save
Types of Notes
Organize notes by category for better management:
General Client Notes
- Overall preferences and personality traits
- Communication style and special requests
- General observations about the client
Service-Specific Notes
- Treatment preferences and results
- Product recommendations and favorites
- Service modifications and customizations
Important Alerts
- Allergies and sensitivities relevant to services
- Special requirements or accessibility needs
- Important warnings for service delivery
Note Privacy and Visibility
Control who can see specific notes based on sensitivity and relevance.
Alert Notes
Alert notes are prominently displayed to ensure critical information is never missed:
- Appointment Cards Alerts appear on the calendar appointment
- Booking Process Warnings show when creating new appointments
- Check-in Alerts display when client arrives
- Daily Schedule Important notes visible on schedule views
Managing Existing Notes
Edit, update, or organize notes as needed:
- Navigate to the client profile Notes section
- Find the note you want to modify
- Click edit to update or add information
- Change visibility settings if needed
- Save changes with automatic version tracking
Deleting Notes
Remove outdated or incorrect notes:
- Open the note you want to delete
- Click the delete option
- Confirm deletion with optional reason
- Note is archived for audit purposes
