Where Requests Live
Customers can ask for things that need your yes: a pass, a membership, a seat in a class, or a booking under terms that require confirmation. There is no single requests page — each kind is answered where it belongs, and the Finances hub counts them in its Today queue as requests waiting, requests to join, memberships behind and clients overdue.
- Pass requests — Finances, then Passes, on the Requests tab.
- Membership requests — Finances, then Memberships, on the Requests tab.
- Class reservations — on the session's roster under Awaiting your answer. There is no studio-wide list; each roster is the only place to answer them.
- Booking approvals — on the appointment itself, with Confirm and Decline, and a note of when it confirms itself if your terms allow that.
Owners, Admins and Receptionists answer requests. Professionals cannot act on them.
Answering a Pass Request
Accept holds the pass for the customer; it stays owed until the desk takes the money, and you are asked whether to collect now. Decline requires a reason the customer sees. Collect opens the till on the held request. Requests show as Waiting, Accepted (with a pay-by date), Paid, Declined or Expired.
Answering a Membership Request
Accept starts the plan and raises its first cycle; the money is taken at the desk, now or at the customer's first visit. Decline bills nothing, writes nothing off and tells the customer — no reason is needed. Each request shows when it was asked, when it expires and when the membership would start.
Answering a Class Reservation
On the roster, Approve confirms the seat. Decline gives back every seat the customer reserved and voids anything raised against them; they are told either way, and you can add a reason. Seats are held while you answer, and the roster says how many.
The QR Fast Path
A customer with a pending pass or membership request sees Show at the desk in their app. Scan the code with a phone that is signed into the partner app — the phone camera is enough; there is no built-in scanner — and the request opens highlighted. Accept, then answer the Collect payment now? prompt. The customer's screen updates on the spot to say the desk took their payment or accepted their request.
Notifications
Everyone who can answer requests, plus the session's instructor, is notified when something needs a decision — by email, in the app and by push under Approval Requests. Confirmed seats and withdrawn requests only show as an in-app badge, so a busy studio is not emailed all day.
Tips
- Accepting never moves money. Collecting is always a separate step, so accept freely and collect when the customer is in front of you.
- Requests expire — check the Today queue at opening time so nothing lapses unanswered.
