Set up recurring appointments for regular clients.

Creating Recurring Appointments

To set up a recurring appointment:

  1. Create a new appointment as usual
  2. Click "Make Recurring" or select the repeat option
  3. Configure the recurrence pattern
  4. Set an end date or number of occurrences
  5. Review and confirm the series

Recurrence Patterns

Available repeat options:

Daily

Repeat every day or every X days.

Weekly

Repeat on the same day each week, or select multiple days.

Bi-weekly

Repeat every two weeks on the same day.

Monthly

Repeat monthly on the same date or same day of the week (e.g., first Monday).

Managing a Series

Editing Options

When editing a recurring appointment, choose which occurrences to modify:

  • This appointment only - Changes just the selected occurrence
  • This and future appointments - Updates from this date forward
  • All appointments in series - Modifies the entire recurring series
  • Skip this occurrence - Remove one instance without affecting others
  • Cancel future occurrences - End the series from a specific date

Series Modifications

You can modify various aspects of the series:

  • Timing Changes Update the time or duration for future occurrences
  • Service Updates Change services or add additional treatments to the series

Series Exceptions

Handle special cases within a recurring series such as holidays, vacations, or one-time schedule changes.

Cancelling Series

End a recurring series by setting an end date or cancelling all future appointments:

  • Edit the series settings to set a specific end date
  • Cancel all future occurrences while preserving past appointments
  • Delete the entire series including historical records if needed

Viewing Series Appointments

Recurring appointments are visually linked on the calendar and can be filtered as a group for easy management.

Best Practices

Tips for managing recurring appointments: confirm series with clients before setup, set reasonable end dates (3-6 months), review recurring series monthly, and establish clear policies for missed appointments.
