Classes, Courses and Events

Your catalog holds four kinds of offering. A service is booked one-to-one whenever a client picks a slot. A class runs on repeat and clients book a single session at a time. A course is a fixed run of sessions that clients enrol in once for the whole thing, so it needs an end date. An event happens once, on one date, and clients book a place. Classes, courses and events share the schedule builder, roster and attendance tools described here.

Adding a Class to the Catalog

Open Settings, choose Catalog and then Add offering. Owners and Admins manage the catalog; other roles can read it. The class form has these sections:

  • Details โ€” the name, a description of up to 500 characters, and the duration in minutes (at least 5).
  • Pricing & capacity โ€” the price per seat and the maximum number of participants.
  • Delivery โ€” In person, Online or Hybrid โ€” plus the category and the venues where the class runs.
  • Class instructors โ€” who runs the class. You can pick several, and each schedule row can name its own.
  • The kind of space a session occupies, if rooms are limited โ€” see the Spaces page โ€” and a cover image.

Leave Publish switched off while you are still shaping the class. Once it is on, the class is visible to customers and open for enrolment.

Building the Schedule

The Schedule section defines when the class runs. Add a time for each day pattern; every row has its own days, a first matching day it starts on, a time, a venue, a cadence โ€” every week or every few weeks โ€” and its own instructor or instructors. Use Add another time for a second pattern, Duplicate this time to copy a row, and Remove this time to cancel that recurring series together with its upcoming sessions. Customers cannot enrol in a class that has no times yet.

Courses need an end date, and once students have enrolled the course schedule can no longer be reshaped. For online classes, sessions only get a Google Meet link automatically when an assigned instructor has connected Google Calendar; the form warns you when nobody has.

Instructors and Co-teachers

A class can have more than one instructor, both on the class itself and on each schedule row. On the series page, Add instructor and Remove change who teaches an existing series. The same page holds the series controls: Pause Series stops new sessions from being created while existing ones stay scheduled, Resume Series starts them again, and Delete Series removes the schedule, optionally cancelling all future sessions โ€” enrolled clients are not notified automatically, so tell them yourself.

Scheduling Your Own Class Times

Instructors do not need a manager to look after the times of the classes they teach. Open Settings and choose My classes to see every class you teach, then Add a time, edit one, or Pause and Resume it. A time you add names you as its instructor and runs at a venue where you work. Changing the class itself โ€” its name, price or number of places โ€” stays with Owners and Admins.

The Roster

Open a session from the calendar to see its roster: how many are enrolled out of the capacity, how many seats are left, and the total still owed across the session. Each seat shows what it owes or how it was settled โ€” paid, covered by a pass or written off. From here you can:

  • Enroll client โ€” search for an existing client, or add the person as a new client and enrol them in one step.
  • Check in, No-show and Reset โ€” mark each attendee, or Mark all present to check in the whole room.
  • Remove โ€” cancels that client's enrolment in this session.
  • Adjust seats โ€” set the seats for this session, or go back to the class limit.
  • Finish class โ€” confirms who came; anyone still marked as a no-show is recorded that way.

Each seat shows its state โ€” Registered, Pending, Checked in, Attended, No-show or Cancelled. Guests without a client record cannot be acted on, so link them to a client first. When your booking terms require your approval, reservations appear on the roster under Awaiting your answer, where you approve or decline them; the Requests desk page explains where every kind of request is answered.

Enrolling Students

Besides the roster, you can seat students straight from the calendar. In Create Appointment, pick the class under Classes; if it already runs that day, choose Seat there instead to fill a seat in the existing session โ€” the form shows how many seats are left โ€” or Create a new session instead. Several attendees can be seated at once, and the form lists anyone it could not seat.

To enrol many students in bulk, use Import appointments: upload an Excel or CSV file of up to 10 MB, map its columns to your services, staff, venues and statuses, review and import. Class passes are applied automatically when a student books, and Use pass on a roster row spends a credit for a seat booked without one โ€” see the Class passes page.

Once a Session Has Started

  • Check-in opens on the day of the class; No-show only becomes available once the session has started.
  • Enroll client and Remove close when the session starts, and Adjust seats disappears.
  • Finish class records attendance and completes the session. Assigning a room stays available throughout.

Publishing and What Clients See

Published classes appear on your business page and clients book a single session at a time. If your booking terms need your yes, their seat waits for you on the roster; the Booking policies page describes those terms. When you cancel a session, every enrolled student is told. To take a class off the catalog without losing its history, remove it โ€” it is archived rather than deleted, as the Archiving offers page explains.
