Calendar Overview
The calendar shows every appointment, class session, time block and personal event across your organization. View, create and manage bookings from here.
Calendar Views
Pick the view that fits the moment from the calendar sidebar:
Day
An hourly view of a single day โ essential for busy days and detailed scheduling.
Work Week
Monday through Friday, for businesses that run on a traditional working week.
4 Day
Today plus the next three days: a focused short-term view without the noise of a full week.
Week
All seven days, ideal for weekly planning and staff scheduling.
Month
The whole month at a glance, best for spotting busy periods and planning ahead.
Agenda
A list of upcoming appointments, perfect for quick scanning and daily briefings.
Year
The twelve months side by side, with the days that have bookings highlighted โ useful for spotting seasonal patterns. Tap a day to open it in the Day view, or a month name to open that month. On a phone, swipe left or right to move a year at a time.
Team
One column per staff member for the day โ described in detail below.
Navigating
Use the navigation controls to move through dates:
- Today: Jump back to the current date.
- Arrows: Move forward or backward by one view period.
- Mini calendar: Pick any date from the small calendar in the sidebar.
- Search appointments: Find a booking from the sidebar without scrolling through days.
- Week day selector: In the Day view on a phone, tap a day in the strip under the header to jump to it, or swipe the strip to change week.
- Pull to refresh: In the partner mobile app, pull down on the calendar, or any other screen, to reload it.
Filtering
The sidebar filters narrow what the calendar shows:
- My Team: Choose whose bookings are shown, or switch on Only me to see just your own and Mine to show only the venues where you work.
- My Locations: Switch between venues in multi-venue setups.
- Status: Show only the statuses you choose โ Requested, Confirmed, Declined, Cancelled, Completed or No-show.
The Team View
The Team view lays the day out as one column per staff member selected in My Team, plus an Unassigned column for bookings nobody has been given yet. Tap an empty slot to create an appointment already assigned to that person, or tap a column header to open their team profile.
- Drag an appointment into another column to reassign it โ the calendar confirms with Moved to and the new person's name. Reassigning needs the right to edit appointments, and the drop is refused where that person cannot take the booking.
- Drag within a column to reschedule; an Undo control appears for a moment after the move.
- If nobody is selected in My Team, the view is empty โ select at least one person.
Free and Busy Time
Colleagues who have connected an outside calendar have their events mirrored onto the calendar as Busy โ only the time is shared, never the details, and there is nothing to open. Your own mirrored events open inside EasyBook with their full detail, private ones included. When you book someone who appears busy at that time, the appointment form warns you before you save. The Google Calendar sync page explains which calendars are read.
Hour Range
The grid spans your venues' opening hours and your staff's working hours, and stretches to fit any appointment that falls outside them. Turn on Hide non-working hours in the calendar settings to show only the hours within your venues' opening times.
Calendar Settings
Open Settings from the calendar. Personal settings apply to your account only:
- First day of week, Time format (1:30 PM or 13:30) and Date format.
- Hide non-working hours, as above.
- Calendar sync and Calendar notifications โ connecting Google Calendar, choosing which calendars block your availability, and which invitation emails reach your inbox.
One setting is organization-wide: Allow past appointments lets staff create appointments on dates that have already passed, useful for record keeping.
Closures on the Calendar
Holidays and exceptional closing periods are shaded on the calendar as Closed with their title, and bookings are blocked during them. Add or remove them from Closures in the calendar sidebar or from each venue's Hours & closures โ the Time blocks & closures page walks through it. When you book outside normal hours, the form warns you rather than stopping you:
- Selected time is outside venue operating hours.
- This venue is typically closed on that day โ booking is allowed for special events or exceptions.
- This time slot conflicts with an existing appointment.
- Scheduling in the past โ only possible when past appointments are allowed.
Quick Actions
Click any appointment to open it โ view the full details, edit it, confirm or decline a request, cancel it, or mark it completed or no-show.
