What the Business Hub Is
Finances is the Business hub — the money, the desks, and how the business is doing. It opens on a Today queue of what needs attention, a Money strip with Today, This week, This month and This year plus Refunds this month and Outstanding, and links to the Business desks — Payments, Passes and Memberships — and the Reports: Revenue, Venues and Staff.
Owners, Admins and Receptionists open the hub and its desks. Reports are for Owners and Admins only; other roles see Access Denied.
The Payments Desk
Payments shows what the desk took and what it gave back, in two views: Collected and Outstanding. Each row shows when, the client (or Walk-in), the method, the kind, the amount and what it was for — a booking, a seat, a pass, membership dues or a fee. Kinds include Taken, Given back, Withdrawn, Pass credit, Written off and Reinstated; methods include Cash, Credit card, Debit card, Bank transfer, Wallet, Voucher and Online. Totals for Taken, Assumed, Given back and Net sit at the top, and you can filter by venue, refunds only or internal movements.
- Refund — the amount goes back to the customer and what it paid for is owed again. A reason is required. Owners and Admins only.
- Never paid — withdraws a payment that was assumed when a booking was completed, so the customer owes it again.
- Reinstate — reverses a write-off so the charge is owed once more.
A payment marked Assumed was recorded when the booking was completed, not witnessed at the desk; a Pending badge means it is still settling.
Who Owes What
The Outstanding view lists every client with an open charge: owed since, amount and the charges behind it, with Overdue flagged and filters for Overdue only and No client. From any charge, choose Take payment to open the till or Write off to stop it being owed; anything else on the same order stays owed, and a write-off is recorded and can be reversed later. Part payments show as an amount already paid.
The Till
Take payment opens the till for a client or a walk-in. It shows who is paying, what is paid and what is owed, then asks how they are paying:
- Cash — the cash received is pre-filled with the amount owed and the change due is worked out for you.
- Pass — pick which pass to spend. A pass or membership is always paid in full.
- Write off — with a reason: No-show, Goodwill, Staff error or Other.
Add a note if you like, or choose Take part payment to settle only part of what is owed. If the amount changed while the till was open, you are asked to confirm the new amount. The result reads Still owed or All settled.
Tips and Gotchas
- The till has no card tender. Card and bank transfer methods are only recorded when selling a pass; online card payments appear as Online.
- Nothing in the partner app moves money itself. Refunds and write-offs are records of what you did — return the money to the customer yourself.
- Membership cycles settle through the same Take payment flow; every charge of a cycle sits on one bill, so one payment settles the cycle.
