Build recurring membership plans, publish them for customers to join, and keep every member's agreement billed cycle after cycle.

What a Membership Plan Is

A membership plan is an offer you define once: what a member gets in each billing cycle and what it costs. When a client joins, every cycle the plan's charges are raised as a single bill that your desk collects. Plans suit gyms, studios and any business that sells ongoing access rather than one-off visits.

Where to Find It

Open Settings and choose Memberships in the Organization group. If you have no plans yet, the page explains the idea and offers a Build a plan button. Only Owners and Admins can build or change plans; Receptionists and Professionals see the catalog read-only.

Building a Plan

The plan builder is split into five sections. Work through them in order:

  1. Basics — give the plan a name and a short description that members will recognise.
  2. Price & billing — choose how it is billed (Monthly, 3 months, 6 months, Yearly, or Custom with your own interval in weeks or months), set the recurring price and, if you want one, a joining fee that is charged once on the first cycle.
  3. Terms — set grace days (how long an unpaid cycle is carried before the agreement lapses), notice days (how much notice a member gives before leaving) and any minimum commitment in cycles.
  4. What's included — pick Unlimited access or a limited number of visits each cycle, then choose what it applies to: Everything, Classes, Appointments or a custom list of services.
  5. Add-ons & fees — add extra lines with Add an extra. Each line either grants a pass you already sell, grants a new pass that exists only inside this plan, or charges a fee, and each is charged once or every cycle.

The builder shows the total charged each cycle and the amount due on joining as you go. A plan needs at least one line, and at least one of them must recur — if nothing recurs, it is a one-off charge rather than a membership and cannot be offered.

Publishing a Plan

From the plan's detail page, switch on Offered publicly to let customers join the plan themselves from the customer app. Leave it off and only the desk can enrol somebody. The plan list shows each plan as Offered publicly or Not offered yet.

Enrolling a Client at the Desk

Owners, Admins and Receptionists can start a membership for a client directly:

  1. Open the client from Clients, go to Memberships and choose Start a membership.
  2. Pick the plan. Every term of the agreement comes from the plan and is held for its life.
  3. Set a start date, or leave it empty to start today. The first cycle falls due on the start date.
  4. Confirm the price each cycle. It is held for the life of the agreement, even if you re-price the plan later.
  5. Choose Start it. The membership is running and its first cycle is raised.

What Members See

Customers see published plans on your business page and can ask to join from the customer app. Their request lands in Finances under Memberships on the Requests tab, where the desk accepts or declines it. Accepting raises the first cycle; taking the money is a separate step, so accepting never moves money by itself.

Tips and Gotchas

  • Re-pricing a plan never changes existing members — they keep the price they joined at.
  • Removing a plan that has ever had members archives it: nobody new can join, but current members keep their agreement and keep being billed. A plan nobody ever joined is deleted for good.
  • A minimum commitment appears on each member as the number of cycles left of the agreed term.
  • Refunds of membership dues are not automatic — the desk records them from the Payments desk.
