Archiving Offers

Retire services, classes, passes, plans and spaces without losing the bookings and purchases already attached to them.

Archive Instead of Delete

Once an offer has been booked or bought, deleting it would erase history that clients and your reports depend on. EasyBook therefore archives instead: the offer comes off the catalogue and stops taking new bookings, while everything anyone already booked or paid for stays exactly as it was. This applies to services, classes, passes, membership plans and spaces.

How to Remove an Offer

  1. Open the offer and choose More actions, then Remove.
  2. Wait for the preview. It works out what removing would do and shows three groups: Fix this first, What changes and What stays.
  3. Read the preview. If nobody has ever booked or bought the offer, removing it erases it for good; otherwise it is archived.
  4. Confirm. Archived offers appear in the catalog when you set the Show filter to Archived.

Owners and Admins can remove and restore offers.

What the Preview Tells You

The preview lists exactly what is affected, for example:

  • For a service or class — booked appointments that are kept, schedules that stop repeating, empty sessions that are removed, rebooking reminders that stop, clients who have it saved and will stop seeing it, passes that still cover it, and any loyalty reward that still gives it away.
  • For a pass — every pass already sold keeps working to its own expiry, and any membership plan keeps granting it.
  • For a membership plan — existing memberships keep billing.
  • For a space — bookings already holding it keep naming it, and if it was the venue's last of its kind, services asking for one will book without limit there.

Restoring an Archived Offer

Choose Restore on an archived offer to bring it back as a draft with an empty schedule. Publish it when you are ready, and rebuild any repeat schedule yourself — the old one is not recreated.

Stop Selling Without Archiving

If you only want a pause, unpublish instead. A service or class taken off the catalogue, or a pass taken off the shelf, stops being offered online while the desk can still use it, and nothing about it changes.

Venues

Venues are not archived. A venue can be unpublished, which hides it from customers, or deleted. Publishing a venue is blocked until it has opening hours, at least one service available there, a staff member with availability and a main photo, and a published venue always keeps at least one staff member and one service.

Tips and Gotchas

  • A class archived with a live schedule loses its repeat schedule — note it down before you confirm if you may restore it later.
  • Archiving does not cancel anything: clients keep their bookings and passes keep working.
