Key terms and concepts used in the EasyBook Partner Platform.

Core Concepts

Organization

An organization represents your business entity in EasyBook. It's the top-level container that holds all your venues, services, team members, and client data. Users can belong to multiple organizations and switch between them.

Venue

A venue is a business location where services are provided. Each venue has its own address, operating hours, staff assignments, and services. Venues can be physical locations or virtual (for online services).

Service

A service is what clients book - such as a haircut, massage, consultation, or fitness class. Services have defined durations, prices, and can be assigned to specific venues and staff members.

Appointment

An appointment is a scheduled booking between a client and your business for a specific service, at a particular venue, with an assigned staff member. Appointments progress through various statuses from creation to completion.

Client

A client is a customer who books appointments with your business. Client records include contact information, appointment history, notes, tags, and preferences.

Partner/Staff

Partners are team members who work in your organization. They can have various roles and permissions, from administrators to service professionals.

Roles and Permissions

Role

A role defines a set of permissions that determine what a team member can access and do within the platform. EasyBook has 8 built-in roles:

  1. Owner: Full control over the organization
  2. Admin: Comprehensive management access
  3. Venue Manager: Manages specific venue operations
  4. Assistant Manager: Supports managers with limited authority
  5. Supervisor: Oversees team activities
  6. Professional: Service providers (stylists, therapists, etc.)
  7. Receptionist: Front desk and booking management
  8. Staff: Basic operational access

Permission

A permission is a specific capability granted to a role, such as "Create Appointments," "View Analytics," or "Manage Services." EasyBook has over 70 granular permissions.

Appointment Statuses

Requested

A new appointment that has been submitted but not yet confirmed. The appointment is pending action from the business.

Confirmed

An appointment that has been accepted and is scheduled to take place. Both the business and client have committed to this time.

Completed

An appointment that has been successfully delivered. The service was provided as scheduled.

Cancelled

An appointment that was cancelled before it took place. Can be cancelled by either the client or the business.

No-Show

The client did not arrive for their confirmed appointment without prior notice.

Service Types

Appointment

A one-on-one service session between a single client and a staff member. The most common service type for individual treatments or consultations.

Class

A group service where multiple clients participate together. Has a defined capacity and can have a waitlist when full.

Event

A larger gathering, typically with more participants than a class. Often used for special occasions, conferences, or promotional events.

Additional Terms

Appointment Series

A set of recurring appointments following a pattern (daily, weekly, monthly). Changes can be applied to a single instance or the entire series.

Time Block

A blocked period on the calendar that prevents bookings. Used for breaks, administrative time, personal time, or other non-bookable periods.

Auto-Confirmation

A setting that automatically confirms new appointment requests without manual intervention. Can be configured at the organization level.

Waitlist

A queue of clients waiting for availability when a class or time slot is full. Clients are automatically notified when a spot opens up.
