Move your business to EasyBook from another booking tool or from paper.

Moving to EasyBook

Whether your bookings live in another booking tool, a spreadsheet or a paper diary, you can move to EasyBook without closing for a day. Set up your business first, bring your clients and appointments over, then go live and share your new booking link.

What to Prepare

Gather these before you start. Most booking tools can export them as a spreadsheet; coming from paper, a simple spreadsheet you type up works just as well.

  • Your client list: names with an email address or a phone number, and any notes you want to keep.
  • Your appointments: client, service, team member, venue, date and time for each one. Upcoming appointments matter most; past ones keep each client's history complete.
  • Your services: the name, duration and price of everything clients book.
  • Your team: the email address of everyone who will use EasyBook, and the hours each person works.
  • Your opening hours: for each location, with breaks and the holidays you already know about.

Set Up Services, Team and Hours

Do this before you import appointments: each imported appointment is matched to one of your services, team members and venues, so they need to exist first.

  1. Add your venue and set its operating hours.
  2. Create your services with their duration and price.
  3. Invite your team and check each member's working hours.
  4. Choose your booking policies: whether bookings are confirmed straight away, and how late clients can cancel or reschedule.

Bring Your Clients Over

Open your client list and choose Import Clients. Bring them in from a spreadsheet (.xlsx, .xls or .csv, up to 10 MB), your phone's contacts or Google Contacts, match the columns to the right client details, and review the list before anything is saved.

A client who is already in EasyBook is recognised by email address or phone number and is not added twice, and a client with only a phone number is imported too. The Importing clients page walks through every step.

Bring Your Appointments Over

Appointments come in through the same import. Choose Import Clients and upload an Excel or CSV file with client, service, team member, venue, date and time, and status columns; EasyBook recognises it as an appointment file and switches to Import appointments.

  1. Upload the file.
  2. Match the values in it to your services, team members, venues and statuses.
  3. Review the rows. Anything that cannot be matched is listed so you can fix it before importing.
  4. Import. Upcoming appointments appear on your calendar, and past ones fill in each client's history.

A row without a service comes in as a plain visit. The Importing appointments section of the Importing clients page has the details.

Go Live

When your services, team and hours are in place, publish your venue. The publishing checklist shows anything still missing, and the preview lets you see your page the way clients will before it goes live.

What Your Clients Notice

  • A new way to book: once your venue is published, clients can book online at any hour from your booking page and find you in search.
  • Messages from EasyBook: for each booking, clients with an email address receive a confirmation with a calendar file, a reminder before the appointment, and a notice if it changes or is cancelled.
  • A new booking link: replace the old link on your website, Instagram, WhatsApp and Google profile, so nobody books through the tool you are leaving.
  • Their history: when you import past appointments, each client's earlier visits are already there the next time they book.
